Rules and Expectations
1) Be a decent human being. No hate or discrimination or other such behavior will be tolerated. Severity of consequences for breaking this rule will be at the mods' discretion and could result in bans from current and future events.
2) This is an 18+ event.
3) NO GENERATIVE AI OF ANY SORT WILL BE TOLERATED. If we have found any participant to be using AI, they will be banned from the event.
4) Communication with mods and partners is essential. Please make sure you will be available or able to communicate if you will be unavailable for an extended period of time. Most communication will happen between author and artist, with mods only intervening if necessary. If there is a concern about a lack of communication, partners may be reassigned.
5) Fics must be previously unpublished.
6) If a check-in is missed, you will be considered dropped.
7) You may apply for a pinch hitter role on its own or in addition to the artist or writer role.
8) You may apply for both writer and artist role.
9) Cross overs are allowed, but please note that the artists may not be familiar with the material.
10) You are not required to get/have a discord but it is highly advised. It is the most reliable way to communicate with mods and receive announcements, but important memos such as partner assignments will also be sent out via email.
11) You will be required to provide a viable email to participate. This will only be used for bang communication purposes and for no other reasons.
12) Authors are required to have an AO3 account to post their fic to at the end of the event.
13) Stories must follow at least one character from Witch Hat Atelier, featuring them as the main character and be mainly Witch Hat Atelier focused.
14) You are allowed to drop at any time before pairings with no warning or reasoning. After pairings, we require notice of you dropping. We will never ask for a reason. Just send a mod a message and we'll mark it down. This is so we can coordinate either a pinch hit for a writer or assign the artist to a new fic on their list. Ghosting your partner and/or communication from the mods can result in a ban from future events.
15) Rules are subject to change at mods' discretion.
16) Have fun!(Rules updated as of 10/4/2026)
How it Works
There will be 6 phases to the event.
1) Sign-ups
Sign-ups ensure we have contact information for all participants and know what the balance of artists to authors is.
2) Author Submission
Author submission is where the author's submit a form that details an AO3 style summary of their fic. This form will require a written summary, tags, warnings, and a rating.
3) Artist Picks
Artist picks involve artists going through the author summaries and picking what stories catch their attention. These summaries have been anonymized to ensure no bias is present. We request that each artist pick at least 2 fics and at most 4. These fics are ranked with 1 being the most desired.
4) Pairings
This is where mod Kyt shines and goes insane for two days. Each artist and author will be manually paired to ensure artists are matched with the highest fic on their list, and every author gets an artist. Some artists may be paired with more than one story. (Artists must opt in to do more than one fic.) Unpaired fics will be sent to pinch hitters to ensure all fics get art. Partner pairings will be sent out via email.
5) The Working Period
The working period has 2 check ins. The first check in is to ensure there is communication between partners and that participants have solid ideas. The mid-point check in will require that authors have at least 1500 words/roughly half of their fics written, and artists should have proof that they have started on their work.
6) Posting Period
A final form will be sent out where author and artist pairs can request a range of dates they'd like for posting their work. This range cannot always be guaranteed, but we will do our best. Posting dates will be arranged on a calendar and date assignments sent out via email. The posting period will be spread out depending on the number of participants. We will attempt to keep it to one or two people posting per day to ensure each work gets their time in the spotlight. Fics and art will be posted into a collection made by the mods.
This collection will not change any rights on the fics/art and will only serve as a library of works involved. Please Note:
All fics and art are REQUIRED to be posted in full on the assigned posting date. This is the "bang" part of a bang event. Chaptered works may be spread out throughout the day, but they must be marked finished by the end of the day. This is non-negotiable.
Mini-Bang Expectations
Authors
• Works are a minimum of 3k. (There is no upper limit.)
• Works are edited and proof read to the best of the author's ability.
• Works must be posted in full by the end of the assigned posting date.Artists
• Post at least 1 finished piece. "Finished" is up to the discretion of each artist and author pair.
• Match the author's effort. (Essentially, don't hand your author a piece that only took 15 minutes and looks it.)
• All forms of art are accepted. Curated playlists, cosplay photoshoots, traditional/digital art, fiber crafts, collages, etc. are all valid forms of art.
